If you use Microsoft Dynamics 365 alongside HubSpot for your sales processes, you'll naturally want both systems to exchange data. Where do you start with your HubSpot integration with Microsoft Dynamics 365?
To start with a basic integration that exchanges leads, contacts, and accounts bidirectionally, it doesn't matter which HubSpot license you have. Even with a free license, you can install this integration via the HubSpot Marketplace. With this standard integration, however, you can only exchange a handful of properties. If you want to work with other fields than the standard solution allows or assign custom fields, you'll need Operations Hub Starter or Professional. With these, you have the flexibility to create your own mappings or modify standard mappings.
How does the data sync between HubSpot and Microsoft Dynamics 365 work?
The standard data exchanged between HubSpot and Dynamics largely aligns, making data sync relatively straightforward. The main difference between the systems is that Dynamics refers to Contacts and Leads, whereas HubSpot treats both entities as Contacts. This means that when setting up synchronization, you'll see two types of contacts that you can link. Both Leads and Contacts in Dynamics are imported into HubSpot as Contacts. To convert the appropriate Contacts from HubSpot to Leads in Microsoft Dynamics 365, you select the lifecycle stages that should be converted to Leads.
Other forms of data can generally be synchronized one-to-one. Accounts in Dynamics are placed under Companies in HubSpot, and Opportunities in Dynamics are included in HubSpot as Deals.

In essence, setting up the integration is straightforward. However, there are several things to consider, such as which lifecycle stage in HubSpot corresponds to a lead in Dynamics, and when you want contacts to be created. You also need to consider when you want a contact to be shared from one system to another.
For example, we configured the integration for one of our clients so that contacts and companies are only created in Microsoft Dynamics 365 when a deal reaches a certain status in HubSpot. We achieved this using Active Lists in HubSpot. Additionally, creating new contacts and companies in HubSpot from Dynamics is possible. This can be efficiently done by using labels in Dynamics. This way, you keep both systems as clean as possible and ensure that relevant records remain neatly synchronized.
